Getting started with AI assistants: a practical guide

If your team just got handed a new AI assistant with a two-line rollout email and a training video nobody watched, this is the version that actually helps.

Start with what it is connected to

Before you trust any answer it gives you, find out what data the assistant can actually see. Does it have access to order history, past tickets, account status? An assistant with narrow access will confidently give you an incomplete answer, and that is more dangerous than an assistant that says it does not know.

Treat the first draft as a draft

The single most useful habit: read every AI-drafted response before it goes out, at least for the first few weeks. Not because the tool is unreliable, but because you are learning where it is strong and where it guesses. That knowledge is what makes you fast later.

Know the handoff points

Every assistant has a moment where it should stop and hand the conversation to a person: an angry customer, a refund above a certain amount, anything involving a complaint about staff. Find out where those lines are drawn in your specific tool, because they are rarely obvious from the interface alone.

Give it feedback

Most systems improve when you flag a bad response instead of just fixing it and moving on. Five extra seconds to mark an answer as wrong saves the next person from getting the same wrong answer.
